Managing listing status: active, paused, or filled

    Managing the status of your listings helps you control visibility, keep your leasing workflow organized and prevent confusion for applicants and your team. Platuni allows you to switch listings between active, paused and filled depending on where the unit is in its leasing cycle. Accurate status updates ensure that applicants only see units that are truly available and that your internal processes remain smooth.

    Active
    A listing is active when the unit is ready for applications. This status means:
    • The listing appears in your public or private feed based on your settings
    • Applicants can submit inquiries and complete applications
    • Your team can review and move candidates through screening and approval
    Active status is the default setting during the leasing period.

    Paused
    Pause a listing when you want to stop new applications temporarily without removing the listing entirely. This is helpful when:
    • The unit is undergoing maintenance or light renovation
    • Your team is reviewing a strong applicant and does not want additional submissions
    • You are updating photos or pricing
    • You are confirming move out dates or turnover schedules
    A paused listing remains visible to your team but stops receiving new applications until you reactivate it.

    Filled
    Mark a listing as filled once a resident has been approved and the lease is finalized. This status:
    • Removes the listing from all public and private feeds
    • Ensures no new applications are submitted
    • Helps your team close out the leasing workflow
    • Prevents the property from appearing as available in reports or listings
    A filled status signals that the unit is now occupied or reserved for an upcoming move in.

    How to mark a unit as leased

    Once your applicant has been approved and the lease process is complete, you can update the listing easily.

    Steps:
    1. Open the listing or unit in your dashboard.
    2. Select the option to mark as filled or leased.
    3. Confirm the move in date for your internal records.
    4. The unit will show as occupied or reserved depending on your settings.
    5. This action updates all connected workflows including applications, listings and occupancy reporting.

    Pausing applications during maintenance or renovations
    If the unit needs repairs or improvements before new residents can move in, pausing the listing prevents new applications from arriving until the space is ready. This avoids confusion and prevents you from reviewing candidates prematurely.
    To pause:
    1. Open the listing.
    2. Select Pause.
    3. Add an internal note if needed to explain the reason for the pause.
    4. Reactivate the listing once the unit is ready for viewing or move in.

    Pausing is a useful tool for managing expectations during turnovers, deep cleaning or ongoing work.

    Avoiding double listings
    Accidental double listings can confuse applicants and complicate your leasing data. To avoid them:
    • Always check the unit status before creating a new listing
    • Use the Create listing button directly from the unit, which ensures only one listing per unit
    • Archive or fill older versions of the listing immediately when the unit is leased
    • Review your active listing feed from time to time for duplicates
