Setting up unit details and availability

by Platuni | 30 Dec, 2025 | 5 mins read

Setting up unit details is one of the most important steps in configuring your property in Platuni Property Manager. Each unit carries its own rules, pricing, availability status and unique attributes. These settings influence how applications flow, how charges are calculated, how maintenance is tracked and how residents experience the platform.

A well defined unit ensures accurate listings, smooth leasing, proper financial tracking and clear communication across your team. This guide explains how to set up each part of a unit, how to mark its availability and how to assign special tags that help you manage different housing types.

Marking units as vacant, occupied or under renovation

Platuni uses the unit status to determine whether a space can receive applications, show in listings or remain hidden until ready. Accurate status tracking helps your team stay aligned, prevents double leasing and gives you a real time view of your property’s occupancy.

    Vacant

Use this status when the unit is ready for a new resident or will be ready soon. A vacant unit can:

    • Appear in listings if you choose to publish it

    • Accept applications

    • Show availability in your internal reports

Vacant units should have full details added, including rent, amenities and photos.

    Occupied

Set this status once residents have moved in and an active lease exists. An occupied unit:

    • Does not appear in listings

    • Cannot receive new applications

    • Displays resident information, charges and maintenance activity

Keeping occupied status accurate ensures your team avoids confusion during move in and move out cycles.

    Under renovation

Use this status when a unit is not ready for residents or applicants due to cleaning, repairs or construction. An under renovation unit:

    • Stays hidden from public listings

    • Cannot receive applications

    • Remains visible to your team for management purposes

This status helps stop accidental applications and prevents leasing commitments before the unit is ready.

Setting rent, deposit, utility rules and fees per unit

Each unit has its own financial structure. Platuni allows you to set these details clearly so charges, payments and reporting all reflect the correct amounts.

    Rent amount

Enter the base monthly rent for the unit. This amount:

    • Appears in listings

    • Becomes a recurring charge once a resident signs a lease

    • Flows into your financial reports

You can update the rent later when adjusting prices or processing renewals.

    Deposit rules

Deposits vary by region and by property type. Examples include:

    • Security deposit

    • Last month’s rent

    • Key deposit

    • Damage deposit

Platuni allows you to specify deposit amounts and rules for each unit so your leasing process remains consistent and compliant.

    Utility rules

Unit level utility rules clarify what is included in rent and what is billed separately. You can specify:

    • Which utilities you cover

    • Which utilities the resident is responsible for

    • Whether utilities are fixed charges or calculated separately • Seasonal adjustments if applicable

Setting these rules early avoids confusion when residents receive their monthly charges.

    Additional fees

Some properties charge fees based on unit type or usage. Examples include:

    • Parking • Storage • Amenity access • Pet fees • Furnishing fees

You can add these fees per unit so they carry through to charges and leases without manual correction.

Assigning unit tags like student housing, subsidized, furnished

Unit tags help your team classify units and improve your ability to filter, report and manage specific categories of housing. Tags do not affect billing on their own, but they add clarity and structure to your workflow.

    Student housing

Use this tag for units reserved for students. This tag:

    • Supports roommate matching

    • Aligns with academic lease terms

    • Helps managers filter student specific buildings or floors

    Subsidized

Use this tag for units that follow special pricing or program requirements. It helps teams:

    • Track compliance rules

    • Report on subsidized vs. market rate units

    • Maintain correct documentation and rent structures

    Furnished

Use this tag for units that come with furniture or equipment. It helps your team:

    • Track which units require staged maintenance

    • List furnished units accurately

    • Add furnishing fees if your property uses them

    Additional tags

Depending on your property, you may add tags such as:

    • Pet friendly

    • Accessible

    • Short term

    • Renovated

    • Room only

Tags help you slice your portfolio in meaningful ways and quickly identify units based on special features.

    Putting it all together

Once unit details are complete, your property becomes fully functional inside Platuni. Accurate unit setup supports:

    • Smooth leasing and application flow

    • Clear listing information

    • Correct rent and fee calculations

    • Better maintenance management

    • Accurate occupancy tracking

    • Meaningful reporting for owners and operations teams

A structured unit setup ensures that every part of your platform aligns with real world conditions, reducing errors and giving your team confidence as you manage daily operations.
